Privacy Policy

1. Introduction and Data Controller

This Privacy Policy describes how Laddro Digital UG (haftungsbeschränkt) ("Laddro," "we," "us," or "our") collects, uses, discloses, retains, and protects your personal data when you access our website at www.laddro.com (the "Website") and use our resume, CV, and cover letter building services, including AI-assisted features, subscriptions, referral program, job application tracker, and optional public API (collectively, the "Service").

We are committed to protecting your privacy in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR"), the German Federal Data Protection Act (Bundesdatenschutzgesetz, "BDSG"), the Telecommunications-Telemedia Data Protection Act (Telekommunikation-Telemedien-Datenschutz-Gesetz, "TTDSG"), and all other applicable data protection laws.

By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. Where we rely on your consent as a legal basis for processing, we will obtain it explicitly and you may withdraw it at any time.

2. Data We Collect

2.1 Account and Authentication Data

We collect the following personal data when you create and manage your account:

Authentication Methods:

  • Magic link (passwordless): Our primary sign-in method. You enter your email address and we send a one-time sign-in link. No password is required. The link is single-use and expires after a short period for security.
  • OAuth (Google, LinkedIn): You may authenticate using your Google or LinkedIn account. We receive only the profile data these providers share (typically name and email). We do not receive or store your Google or LinkedIn password. You may disconnect a connected Google or LinkedIn account at any time via your account settings, provided you retain at least one active sign-in method. Please review Google's Privacy Policy and LinkedIn's Privacy Policy to understand how they handle your data.
  • Guest access: You may use the resume and cover letter builders without creating an account. In this case, your content is stored locally in your browser's localStorage and is not transmitted to our servers until you create an account. No personal data is collected from guest users beyond what is stored locally in the browser.
  • Session management: We use HTTP cookies to store authentication tokens (see Section 5).

Profile Photo: You may upload a profile photo via your account settings. Uploaded images are cropped and resized (to 400×400 JPEG) on your device before being uploaded directly to our cloud storage provider via a secure presigned URL. When you upload a new photo, the previous image is replaced and deleted from cloud storage. When you delete your account, your profile photo is deleted from cloud storage. We do not use your profile photo for any purpose other than displaying it within your account.

Account Management: You may update your name and email address at any time via your account settings. Email changes are validated to ensure the new address is not already in use. You may also disconnect linked Google or LinkedIn accounts, provided at least one sign-in method remains active on your account.

Account Deletion: You may delete your account at any time via your account settings. Upon deletion, we remove or anonymize your personal data - including your profile photo from cloud storage, resumes, cover letters, and job application data - in accordance with Section 8. Certain data may be retained for limited periods as required by law (see Section 8).

2.2 Resume and CV Data

When you use the resume builder, we collect and store:

Legal basis: Art. 6(1)(b) GDPR - Processing is necessary for the performance of the contract (providing the resume building Service).

Resume data is stored on our servers and associated with your account. For AI-assisted features (tailoring, parsing), your resume content is transmitted to our backend and may be processed by third-party AI providers (see Section 2.4). We do not use your resume content for marketing, advertising, or sale to third parties.

2.3 Cover Letter Data

When you use the cover letter builder, we collect and store:

To generate or improve cover letters, your resume data, job description, and preferences may be transmitted to AI providers (see Section 2.4).

2.4 AI and Automated Processing

We use AI and automated tools, including third-party providers such as OpenAI, Anthropic (Claude), and Google (Gemini), to power the following features:

Legal basis: Art. 6(1)(b) GDPR - Contract performance (you request these features as part of the Service).

Important information about AI processing:

  • User content transmitted to AI providers is used solely to deliver the requested feature. We do not use your data to train AI models.
  • Our AI providers process data under their respective data processing terms, which include commitments regarding data security, confidentiality, and restrictions on use. We rely on the data processing provisions included in the standard API terms of service of each provider (OpenAI's Data Processing Addendum, Anthropic's terms of service, and Google's Cloud Data Processing Addendum) to ensure appropriate safeguards for your data in accordance with Art. 28 GDPR.
  • AI providers process data as sub-processors and are contractually restricted from using your data for their own purposes, including model training, under their respective API terms.
  • We track AI feature usage (action type, model used, timestamp) per account for plan enforcement and service improvement. No resume or cover letter content is stored in usage logs.
  • Please review OpenAI's Privacy Policy, Anthropic's Privacy Policy, and Google's Privacy Policy for additional information about their data handling practices.

No automated decision-making: The AI features we provide are tools to assist you in creating and improving content. We do not make any automated decisions with legal or similarly significant effects on you based on AI processing. You always retain full control over the final content.

2.5 Job Application Tracker Data

When you tailor a resume for a specific job, we automatically create a job application record. You can also manually create, edit, and manage job applications via the job tracker. We collect and store:

Storage: Job application data is stored both on our servers (synced with your account) and locally in your browser's localStorage for offline access and performance. Server data takes precedence when syncing. Local data is cleared on logout.

Deletion: You may delete individual job applications at any time via the job tracker. Deletion removes the record from both our servers and your local storage. All job application data is also deleted when you delete your account.

2.6 Payment and Subscription Data

Payment processing is handled by Stripe, Inc. (a PCI DSS Level 1 certified payment processor).

We do not store your full credit or debit card number, CVV, or card expiration date. All card data is collected and processed directly by Stripe. We only store the minimum data necessary for billing administration (such as plan type, transaction IDs, and billing dates).

2.7 Support and Communication Data

When you contact us through our support form, we collect:

We retain support records for a reasonable period to handle follow-up inquiries and improve our support quality.

2.8 Referral Program Data

Legal basis: Art. 6(1)(b) GDPR - Contract performance (participation in the referral program); Art. 6(1)(f) GDPR - Legitimate interest in growing the Service.

When you submit email addresses for referral invitations, you represent that you have obtained the recipient's consent to receive such communications or that you have another lawful basis for sharing their email address. We send a one-time referral invitation; we do not add these email addresses to any marketing mailing list.

2.9 API Key Data

If you use the public API, we generate and store API keys associated with your account. API keys are used to authenticate your API requests and enforce rate limits. You are responsible for keeping your API keys confidential.

2.10 Email Preferences and Marketing Communications

We may send you non-transactional emails in the following categories:

You may manage your email preferences at any time via your account settings or by using the unsubscribe link included in every non-transactional email. Unsubscribe links use a signed token that allows you to opt out without logging in. Transactional emails (magic link sign-ins, payment confirmations, account deletion notices) cannot be unsubscribed from, as they are necessary for the operation of the Service.

Legal basis: Art. 6(1)(f) GDPR - Legitimate interest in communicating relevant updates to our users. You may object at any time by unsubscribing.

2.11 Ratings and Feedback

We offer public rating features for resume templates, blog posts, and resume/cover letter examples. When you submit a rating:

  • Your rating value and the item identifier are stored on our servers.
  • To prevent duplicate ratings, we may generate an anonymous identifier based on a hash of your IP address and user agent. We do not store your raw IP address or user agent for this purpose.
  • Your rating choice is also stored in your browser's localStorage to reflect your selection in the interface.

You may also submit general feedback about the Service via a feedback form (name, email, message, current page URL).

Legal basis: Art. 6(1)(f) GDPR - Legitimate interest in improving the Service based on user feedback.

2.12 Device Identifiers

For rate limiting on certain public features (such as the public resume parser), we generate a random device identifier (x-client-id) stored in your browser's localStorage. This identifier is a random UUID, does not contain personal information, and is sent to our backend solely to enforce per-device rate limits. You may clear it at any time by clearing your browser's localStorage.

3. Analytics and Tracking

3.1 Google Analytics and Google Tag Manager

We use Google Analytics (operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) and Google Tag Manager to analyze how users interact with the Service. This helps us understand usage patterns, identify issues, and improve the Service.

Data collected may include:

  • Pages visited and navigation paths
  • Device type, browser type, operating system
  • Approximate geographic location (derived from IP address)
  • Interaction events (such as button clicks, form submissions, template selections, downloads)
  • Session duration and referral source

IP anonymization: We have enabled IP anonymization (data masking) so that Google truncates your IP address within the European Union before processing.

Legal basis: Art. 6(1)(a) GDPR - Your consent, obtained via our cookie consent mechanism.

Opt-out: You may opt out of Google Analytics tracking by:

  • Declining analytics cookies through our cookie consent banner.
  • Installing the Google Analytics Opt-out Browser Add-on.
  • Configuring your browser to block third-party cookies.

3.2 PostHog (Product Analytics)

We use PostHog (PostHog, Inc.) for product analytics to understand how users interact with the Service and to improve it. PostHog collects:

  • Page views and navigation paths
  • User interactions (clicks, form submissions, feature usage)
  • Device type, browser type, and operating system
  • Session data and referral source

PostHog is configured to use memory-only persistence (no PostHog cookies or localStorage entries are stored on your device) and processes data within the European Union. For authenticated users, analytics events may be associated with your account to provide usage insights. PostHog processes data in accordance with their Privacy Policy.

Legal basis: Art. 6(1)(f) GDPR - Legitimate interest in understanding how users interact with the Service to improve it. Since PostHog does not store any data on your device, no consent under § 25 TTDSG is required.

Opt-out: You may object to PostHog tracking at any time by contacting us at support@laddro.com.

3.3 Sentry (Error Monitoring)

We use Sentry (Functional Software, Inc.) to monitor and diagnose errors and performance issues in the Service. Sentry is configured not to collect personally identifiable information. When an error occurs, Sentry may collect:

  • Error messages and stack traces
  • Browser type, operating system, and device information
  • The page URL where the error occurred

Sentry processes data as a sub-processor under our instructions in accordance with their Data Processing Addendum. Error data is retained for a limited period and used solely for debugging and improving the Service.

Legal basis: Art. 6(1)(f) GDPR - Legitimate interest in maintaining the stability and security of the Service.

3.4 Custom Event Tracking

We track certain user interactions as custom events within our analytics platforms, including:

  • Authentication events (login, signup)
  • Resume and cover letter actions (create, edit, download, tailor)
  • Template and builder interactions
  • Purchase and subscription events
  • Navigation and error events

These events are collected in aggregate and are not used to personally identify you for marketing purposes without your explicit consent.

4. Third-Party Services and Sub-Processors

We use the following third-party services that may process your personal data. Where required, we have entered into Data Processing Agreements in accordance with Art. 28 GDPR.

We do not sell, rent, or trade your personal data to third parties for their own marketing purposes.

5. Cookies and Local Storage

5.1 Cookies

We use the following cookies:

In production, these cookies are set with the Secure flag (transmitted only over HTTPS) and SameSite=Strict attribute (not sent with cross-site requests) for security.

Strictly necessary cookies do not require consent under Art. 5(3) of the ePrivacy Directive (as implemented by § 25 TTDSG) because they are essential for the Service to function.

Analytics cookies (e.g., those set by Google Analytics) are only placed after you provide consent via our cookie consent mechanism.

5.2 Local Storage

We use browser localStorage for the following purposes:

Local storage data remains in your browser. Job application data is synced with our servers when you are online (see Section 2.5). You may clear local storage at any time via your browser settings; doing so may reset preferences, lose unsaved drafts, and clear locally cached job application data (server data is not affected).

6. Sharing and Disclosure of Your Data

We may disclose your personal data only in the following circumstances:

  • Service providers and sub-processors: To trusted third parties who process data on our behalf to operate the Service (hosting, AI providers, payment processing, email delivery, analytics). These parties are bound by Data Processing Agreements and may only process your data for the specific purposes we instruct.
  • Legal obligations: When required to comply with applicable law, regulation, legal process, or enforceable governmental request.
  • Protection of rights: When necessary to protect the rights, property, or safety of Laddro, our users, or the public, including the enforcement of our Terms and Conditions.
  • Business transfers: In connection with a merger, acquisition, reorganization, or sale of assets, your data may be transferred to the successor entity. We will notify you of any such transfer and your options regarding your data.
  • Aggregated or anonymized data: We may share data that has been aggregated or anonymized so that it can no longer reasonably identify you, for research, analytics, or product improvement purposes.
  • With your consent: In any other circumstances where you have given explicit consent.

7. International Data Transfers

Laddro is based in Berlin, Germany (within the European Economic Area). Some of our third-party service providers (including OpenAI, Anthropic, Google, Stripe, and Sentry) may process personal data in countries outside the EEA, including the United States.

Where personal data is transferred outside the EEA, we ensure appropriate safeguards are in place in accordance with Chapter V of the GDPR, including:

  • Standard Contractual Clauses (SCCs) adopted by the European Commission under Art. 46(2)(c) GDPR.
  • Adequacy decisions by the European Commission under Art. 45 GDPR, where applicable (e.g., the EU-U.S. Data Privacy Framework for certified organizations).
  • Supplementary measures where necessary, based on transfer impact assessments.

8. Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by applicable law. The following general retention periods apply:

Profile photo For the duration of your account. Deleted from cloud storage when replaced or when your account is deleted.
Resume and cover letter data For the duration of your account. Deleted with your account.
Job application data For the duration of your account, or until you delete individual records. Deleted with your account.
Payment and transaction records Up to 10 years after the transaction, as required by German tax and commercial law (§ 147 AO, § 257 HGB).
Support correspondence Up to 3 years after resolution, or longer if required for legal proceedings.
Referral data For the duration of the referral program participation and a reasonable period thereafter for audit purposes.
Analytics data Retained in aggregated/anonymized form. Individual-level data is subject to Google Analytics' retention settings (currently set to 14 months).
Public API request logs Automatically deleted after 7 days.
Server logs Up to 90 days for security and debugging purposes.

When data is no longer needed, we delete it securely or anonymize it so that it can no longer be linked to you.

9. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction, in accordance with Art. 32 GDPR. These measures include:

  • Encryption: Data in transit is encrypted using TLS/SSL. Resume and cover letter content is encrypted at rest using AES-256 encryption with dedicated encryption keys.
  • Access controls: Access to personal data is restricted to authorized personnel on a need-to-know basis.
  • Authentication security: Authentication tokens are set with secure cookie attributes (Secure, SameSite=Strict). Magic link codes are single-use and time-limited.
  • Infrastructure security: Our hosting infrastructure employs industry-standard security practices including firewalls, intrusion detection, and regular security updates.
  • Incident response: We maintain procedures for detecting, reporting, and responding to personal data breaches in accordance with Art. 33 and Art. 34 GDPR.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially reasonable measures to protect your data, we cannot guarantee absolute security.

10. Your Rights Under GDPR

If you are located in the European Economic Area, the United Kingdom, or another jurisdiction that provides similar rights, you have the following rights regarding your personal data:

Data portability (Art. 20 GDPR) Receive your personal data in a structured, commonly used, machine-readable format and, where technically feasible, have it transmitted to another controller.
Objection (Art. 21 GDPR) Object to processing based on legitimate interests or for direct marketing purposes. Where you object, we will cease processing unless we demonstrate compelling legitimate grounds that override your interests.
Withdraw consent (Art. 7(3) GDPR) Where processing is based on consent, withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
Automated decision-making (Art. 22 GDPR) Not be subject to decisions based solely on automated processing that produce legal or similarly significant effects. Note: Laddro does not make such automated decisions.
Lodge a complaint File a complaint with a supervisory authority. For Germany, this is the relevant State Data Protection Authority (Landesdatenschutzbehörde) or the Federal Commissioner for Data Protection (BfDI).

How to exercise your rights: Contact us at support@laddro.com with your request. We may need to verify your identity before processing your request. We will respond within one month of receiving your request, as required by Art. 12(3) GDPR. This period may be extended by up to two additional months for complex or numerous requests, in which case we will inform you of the extension and reasons.

Right to lodge a complaint: If you believe that our processing of your personal data infringes the GDPR, you have the right to lodge a complaint with a supervisory authority, in particular in the EU Member State of your habitual residence, place of work, or place of the alleged infringement.

11. Children's Privacy

The Service is not directed at children under the age of 16. We do not knowingly collect personal data from children under 16. If you are a parent or guardian and believe that your child has provided us with personal data without your consent, please contact us at support@laddro.com. If we become aware that we have collected personal data from a child under 16 without verification of parental consent, we will take steps to delete that information promptly.

12. Do Not Track Signals

Some browsers transmit "Do Not Track" (DNT) signals. There is currently no industry standard for how websites should respond to DNT signals. Our Service does not currently respond to DNT signals. However, you can control tracking through our cookie consent mechanism and browser settings as described in Section 3.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will:

  • Post the updated Privacy Policy on our Website with a revised "Last Updated" date.
  • For material changes, provide additional notice via email or in-app notification at least 30 days before the changes take effect.

Your continued use of the Service after the effective date of the revised Privacy Policy constitutes your acknowledgment of the changes. If you do not agree with the updated Privacy Policy, you should discontinue use of the Service and may delete your account.
